Essays, Reports, and Formal Writing

Essays, reports, and formal proposals are the documents that open the biggest doors — university admissions, HELB appeals, business loans, grant applications, and promotion reviews. AI writing assistants can help you produce structured, clear, and compelling formal documents, even if formal writing has always felt difficult.

Why Formal Writing Feels Hard — And Why AI Changes That

Many Kenyans are excellent communicators in conversation but find formal written documents intimidating. This is normal — formal writing has rules that are rarely taught explicitly. AI assistants know these rules by default. They understand the difference between an executive summary and a conclusion, know what a literature review is supposed to do, and can produce structured sections on command. This is like having a university tutor on call, for free.

📄
Formal writing includes: university essays and term papers, business reports, project proposals, grant applications, CVs and cover letters, SACCO or bank loan applications, NGO concept notes, and government tender documents. AI can help with all of these.

The Structure Formula for Essays and Reports

Most formal documents follow a predictable structure. When prompting AI to help, name the sections you want explicitly. This gives you control over the output.

  • Introduction — state the topic, purpose, and main argument or objective
  • Body sections — 2-4 sections with clear headings, each addressing one main point with evidence or explanation
  • Conclusion — summarise key points and end with a recommendation or call to action
  • References — for academic work, ask the AI to suggest sources (but always verify them — AI can fabricate citations)
⚠️
Critical warning on references: AI tools sometimes invent research papers, books, and authors that do not exist — a problem called "hallucination." Never use AI-generated references without checking them on Google Scholar or your library database. This mistake can cost you marks or credibility.

Writing a Strong University Essay with AI

Here is a practical approach for a student at Kenyatta University, Moi University, or any Kenyan institution:

Step 1 — Ask for an outline first
"Create an outline for a 1,500-word essay on the impact of mobile money (M-Pesa) on financial inclusion in rural Kenya. Include an introduction, three body sections with subpoints, and a conclusion."
Step 2 — Expand section by section
"Now write the first body section of this essay: 'How M-Pesa expanded access to savings for rural households.' Write approximately 400 words, academic tone, British English."
Step 3 — Polish your own draft
"Here is my draft conclusion for the M-Pesa essay. Please improve the clarity and flow, keep my main argument, and make it sound more academic: [paste your draft here]"

Business Reports and Proposals

If you are running a small business — or hoping to start one — you will often need to write proposals. Whether it is approaching a Nairobi County tender, applying for a Youth Enterprise Fund grant, or pitching to a potential partner, a well-structured proposal can make or break your chances.

Example Prompt — Business Loan Proposal
"Write a one-page business loan proposal for a small tailoring business in Thika called Stitch & Style. I need 150,000 KES from my SACCO to buy two industrial sewing machines. Include: business overview, purpose of loan, expected revenue increase, and repayment plan. Formal tone."
Example Prompt — NGO Concept Note
"Draft a 500-word concept note for a youth digital skills training programme targeting unemployed youth aged 18-30 in Mombasa County. Include: problem statement, proposed solution, target beneficiaries, expected outcomes, and budget estimate of KES 2 million. Use formal NGO language."

CVs and Cover Letters: Getting Your Personal Voice Right

AI is excellent at formatting and structuring CVs and cover letters, but the details must come from you. Give it your real experience, skills, and achievements — then let it organise and polish. Never let AI invent qualifications or experience you do not have.

🎯
Best approach for CVs: Write a rough bullet list of your experience, education, and skills in your own words — even if it is messy. Then paste it into the AI and say: "Organise this into a professional CV format. Use action verbs, be specific, and keep it to one page." The AI structures and polishes; you provide the substance.

Academic Integrity: A Straight Talk

Using AI to help you understand a topic, outline your thoughts, or improve your writing is legitimate academic assistance — like getting help from a tutor. Submitting AI-generated text as entirely your own work, without understanding it, violates academic integrity policies at most Kenyan universities. The line to stay on the right side of: use AI as a tool, not as a ghost-writer. Engage with the content. Understand what you submit. Add your own ideas.

You Are Ready to Practice

In the next activity, you will put your skills to work with a real hands-on task: taking a weak, informal message and upgrading it into a polished professional email using an AI tool. This is the skill that Kenyan employers consistently say they wish more job applicants had.
